What you’ll be doing:
Mast Reforestation is looking for a professional Executive Assistant (EA) with experience working in a fast-paced startup environment. The role will report to the CEO. You bring a passion for helping senior leadership maximize their time and focus on growing the business. You are highly organized, able to build trust, and can manage interactions at all levels in an organization, as well as with external stakeholders like board members, with discretion and integrity. You are authoritative and capable of making the trains run on time, but you also win trust and respect while doing so. You thrive in a fast-paced, dynamic work environment that is anchored by passion and dedication to the mission: making reforestation scalable to mitigate the worst effects of climate change### Key Responsibilities:

  • Reports to Grant Canary (CEO)
  • Manages complex email and calendar for the CEO, including extremely frequent and complex travel and media engagements
  • Manages quarterly board meetings and reporting process
  • Assists with Executive team meeting strategy, logistics, and minutes
  • Assists CEO with management of investor relations
  • Works both independently and with teams on event coordination ranging from simple (executive team retreats) to quite complex (for example, the annual Tree Seed Summit event)
  • Acts as liaison between CEO, executive team, board members, and all employees at Mast and its subsidiaries
  • Coordinates documents and information using programs like DocuSign, Docsend, Streak, and others
  • When required, maintains office supplies at HQ and provides support for ordering for other departments
  • When required, owns the administrative office functions including tracking and updating facility permits/certificates for operations, expense management, etc.

Qualifications:

  • At least 4 years of experience providing direct EA support including calendar management, meeting coordination, travel coordination, event planning, etc.
  • Ability to travel and work in the Seattle (Ballard) office 3 days per week
  • Strong analytical skills and demonstrated ability to improve processes
  • Demonstrated ability to organize, multi-task, and problem-solve issues while managing competing priorities and commitments to deadlines
  • Start-up or equivalent experience in high-growth and/or fast-paced environments; adaptability to ever-changing situations
  • Proven track record demonstrating ability to work effectively with minimal supervision
  • Ability to quickly learn organizational structure and the objectives of the team
  • Excellent written and verbal communication skills, with an understanding of various communication platforms
  • High levels of integrity and discretion
  • Proficiency in using social media in a professional context is a nice-to-have
  • A terrific work ethic accompanied by an ever-positive, get-it-done attitude
