EmPower Solar seeks an experienced, personable, motivated and organized individual to perform duties as an HR Administrative Assistant + Office Manager to support and grow the company.

POSITION SUMMARY

The HR Administrative Assistant + Office Manager is responsible for organizing and coordinating office administration policies and procedures to ensure organizational effectiveness, efficiency, and safety. The HR Administrative Assistant + Office Manager should be experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. They should be well organized, flexible, and enjoy the organizational challenges of supporting an office of diverse people. The right person must be energetic, proactive, organized, and ready to work in a fast-paced environment. This is a great entry-level opportunity for anyone looking to get experience working in human resources.

TARGET OUTCOMES

  • Provide support to the Human Resources team.
  • Maintain office cleanliness and organization.
  • Ensure 100% accuracy with clerical tasks such as data entry, filing and scheduling.

DUTIES AND RESPONSIBILITIES

Human Resources Support

  • Generating official internal documents.
  • Maintaining physical and digital files for employees and their documents and benefits.
  • Handle employment-related inquiries from employees and escalate to Director of Human Resources as needed.
  • Ability to answer employee questions and/or concerns regarding Human Resource policy, procedures, or employee handbook interpretations.
  • Assists with maintaining compliance with union, federal, state, and local employment laws and regulations, and recommended best practices.
  • Ensures HRIS is being maintained and used accordingly.
  • Updates, monitors, and maintains eligible salary adjustments/increases based on evaluations.
  • Report, maintain, and monitor all workers’ compensation case files; follows-up on open cases
  • Provide support for the owners of the company and managers.
  • Develop and streamline company policies and procedures, and ensure they are implemented appropriately after approval and making sure all files are complete and organized.
  • Promote a positive and open work environment where employees feel comfortable speaking up about issues.
  • Implements new hire orientation and employee recognition programs.
  • Perform routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
  • Perform other duties as assigned.

Office Management

  • Point person for maintenance (Including HVAC, doors, water, desks, etc.), mailing, shipping, supplies, equipment, and errands.
  • Ensure office supplies are adequately stocked, placing orders when necessary.
  • Distribute mail daily.
  • Maintain and ensure office cleanliness. Manage office cleaning vendors and takes personal responsibility to assign others to help when necessary. Including sink area, fridge, rubbish/recycling, general debris in all rooms, IT equipment, etc.
  • Manage organizational communication, scheduling and logistics for key internal events

Fleet Management

  • Oversee vehicle usage calendar.
  • All vehicles have proper registration and insurance coverage.
  • Assist with ensuring all vehicles are being maintained and safe to drive.
  • Assist with ensuring all vehicles are clean and tidy.
  • Primary liaison for all insurance issues, including accidents/claims.
  • Office personnel are following company vehicle use policies.
  • Maintain recordkeeping and vehicle tracking tools.

REQUIRED QUALIFICATIONS/SKILLS

The ideal candidate has excellent interpersonal and communication skills, attention to detail, and a strong work ethic.

  • Detailed oriented, ability to multitask under restrictive deadlines.
  • Demonstrated proficiency in working with computers, including Microsoft Excel, Word, and other Office programs.
  • Capable of working in a team environment as well as acting and operating confidently and independently.
  • Demonstrated capability of problem-solving; capable of taking an undefined problem and identifying solvable approaches.
  • Experience/familiarity working in a construction business.

PREFERRED QUALIFICATIONS

  • Associates/ Bachelor’s degree or working towards one.
  • Experience using the Salesforce.com platform.
  • Demonstrate proficiency in working with google suite.

HOURS, COMPENSATION + BENEFITS

This is an onsite, full-time position. Candidate must be willing to commit to extra hours when necessary for important events and complete time-sensitive tasks. The typical day is 8-9 work hours with a break for lunch, starting at 9 AM.

Employee shall be hourly and receive a compensation range of $18-$22 an hour, which shall be commensurate with experience. Salary will be increased with time in service and strong performance.
