Freedom Solar Power is looking for an Executive Personal Assistant to serve as a strategic partner with our CEO and Executive team. This person is a self-starter who possesses organizational, communication, and multi-tasking skills. We are looking for someone experienced at running an executive’s entire life—both business and personal. This will be an on-site position out of our Austin, TX Headquarters. (78744).

Essential Functions and Duties:

  • Responsible for managing the CEO’s administrative tasks, both professional and personal.
  • Maintain CEO calendar including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs. Draft, review, and send communications on behalf of CEO.
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
  • Answer and respond to phone calls, communicate messages, and information to the executive.
  • Serve as the main point of contact for all CEO’s internal and external company matters.
  • Maintain various records and documents for CEO; including personal, professional, and financial documents.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Process wire transfer requests as needed.
  • Act as a liaison between professional and personal contractors, vendors, and experts on behalf of the CEO.
  • Welcome CEO and executives guests and partners to our headquarters for all meetings and events and prepare the conference room in advance.
  • Run errands on behalf of the CEO, professional and personal, and for company matters.
  • Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
  • Prepare, reconcile, and submit expense reports.
  • Maintain confidential and sensitive information.
  • Arrange travel and accommodations for executives.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Qualifications:

  • 3-5 years of relevant Executive assistance.
  • 3-5 years of personal assistance experience required.
  • Proficient computer skills including Microsoft Office and Google Workspace.
  • Must be willing to travel (15%).

  • Strong organizational and multi-tasking abilities are essential with a sense of urgency.
  • Self-directed and motivated with proven ability to problem solve, drive for results, and excellent follow-up skills.
  • Excellent verbal and written communication skills.
  • Time-management skills.
  • Ability to pay attention to detail.
  • Someone who thrives in a very fast-paced autonomous work environment who can adapt to change quickly.
